An invoice checklist for small service businesses

Check customer details, invoice references, item descriptions, discounts and payment instructions before sending a business invoice.

An invoice should help the customer connect a payment request to the work they agreed to. Before sending it, check both the numbers and the context. Even a correct total can cause delays if the recipient cannot identify the job, does not know the payment deadline or receives contradictory instructions.

Identify the business, customer and document

Use your business name consistently. Add a contact method the customer can use for questions. Check the spelling of the customer name and include the relevant job or quotation reference in the notes. Use the actual issue date. If there is a payment due date, make it reflect the agreement with your customer. Do not silently replace an agreed deadline with a shorter one. A receipt should have the payment date; an invoice and receipt can therefore have different dates for the same job.

Match each item to the agreed work

Compare your invoice with the accepted quotation or message thread. Remove work that was cancelled and add approved changes with clear descriptions. If the customer has already paid a deposit, ensure the document explains what is now being requested. This simple tool does not automatically reconcile previous payments, so use the item descriptions and notes carefully and keep a separate payment record.

Recheck the calculation

Quantity multiplied by rate produces each line amount. The tool rounds line amounts to two decimal places, adds them into a subtotal, subtracts the entered discount and applies the optional entered tax percentage to that discounted amount. For example, a Rs 10,000 subtotal with a Rs 500 discount and an illustrative 10% rate produces Rs 10,450. The example rate is arithmetic only; it is not a statement of what tax applies to your business.

Give clear payment instructions

If you include bank or wallet details, verify each character against your own account records. State the account title where it helps the customer confirm the destination. Never request a customer's password, PIN or one-time code in invoice notes. Ask the customer to quote the invoice number when paying so you can reconcile it.

Check the exported file

Open the PDF and review the customer, total, date, notes and page breaks. Make sure no example details remain. Send it to the correct conversation or address and keep your own copy. When payment arrives, verify it and issue a separate receipt. If an invoice needs correction, identify the replacement clearly rather than leaving two apparently current versions in circulation.
